MedForms understands that sometimes remembering to reorder booklets can be difficult. This might lead you to think that when you place your next reorder, if you order a higher quantity of booklets then you will have them for longer and can push off the reordering until later. However, this doesn’t really help you in the long run and can even be to your detriment later. Below are a few reasons why we recommend ordering a 6-month supply of booklets instead of a year or more:
Sporadicity of Updates – Accreditation bodies, the Federal Government and your State all work on their own time frame. Updates are released year-round, many times with a quick turn-around for when they come into effect and with little warning. For example, the Advance Beneficiary Notice (ABN) expired in January 2026 but the Federal Government didn’t release an updated form until March 2026 with a short grace period following the release so agencies can update their books with the new forms. Say you ordered your booklet in January or February with this form included. The release of this update would affect all of your remaining books. If you ordered a 6-month supply, you would be far less affected than if you had ordered a year supply.
Delayed Implementation – For those few times when we are given advance notice that a change is coming, it would be to your benefit to order a 6-month supply instead of a year long supply. This way, you can make sure you are getting this change sooner instead of later or even after the effective date.
Surveys – If your booklet hasn’t been updated in a year or more, this can look bad on a survey. Especially if updates have been released, which means you aren’t including them in your booklet and can be considered non-compliant. Regular reordering every 6 months can help ensure your compliance.
Internal Changes – Address changes, phone number changes, changes in staff are all subject to change for you. Should any of these happen, ordering a 6-month supply of booklets will mean fewer booklets need to be replaced should one of these changes occur.
