The Proofing Process

You reordered, so what’s next?

Updating Your Booklet

When your booklet reorder reaches the top of our queue, an editor starts by reviewing any changes submitted by your agency in your reorder form. Any change, such as a new accreditation or updated agency contact information, is updated throughout the booklet at your request.

Once any requested changes have been made, the editor checks the booklet for any relevant regulatory changes. These consist of state, federal and accreditation updates released since the booklet last printed. These are compiled and consistently monitored by our regulatory department.

Creating and Sending the Proof

Once all changes are made to your booklet, both from your agency and our regulatory department, the editor generates the proof link to your booklet. They will mark-up the booklet with a variety of stamps that indicate extra attention from your agency.

After verifying additional booklet information, such as forms, our editor emails the proof to the contact indicated in the reorder form.

The proof is sent in an email from one of your editors as a website URL, designed by our IT team for your viewing convenience. While the link is accessible on any device with a browser, we recommend viewing the proof on a laptop or computer for best experience. The proof can be flipped through like an ebook or printed depending on your reviewing preference.

Reviewing the Proof

Next it’s time for your agency to review! Updated or new information will be in blue text or indicated by a stamp. Verify any information marked with red ‘Please Verify’ stamps from the editor and pay close attention to places where the editor has made specific notes with questions or comments. Though our regulatory team assists in compiling information to ensure regulatory compliance, your agency is responsible for verifying all information throughout the booklet.

Any suggested changes made to your booklet are listed directly in the editor’s email. Please read the full email as additional questions about shipping, billing or the booklet may be in the email as well.

As we require any changes in writing, write out any further changes, answers to questions or additional comments from your agency as you review the proof. Once the proof has been reviewed by your agency, please send any noted changes and additional information by replying to the editors proof email.

The editor will get back to your with a revised proof if necessary.

Approving the Proof

If there are no outstanding questions from the editor and your agency approves of all changes in the proof, you are ready for approval!

Like changes, we require all approvals in writing. Respond to the editors email and let them know that the changes are approved. If any billing or shipping information has changed since your last reorder, please let the editor know.

The Confirmation:

If there are no further regulatory changes or questions from our team, the editor will send print confirmation for the order. This consists of billing and shipping information and any other pertinent information. Make sure to review this and let the editor know as soon as possible if anything is incorrect.

Once the print confirmation is sent and the order is processed, you should receive your booklets within 2-3 weeks, or 3-4 weeks for larger orders!
